Booking Terms and Conditions

Booking and Confirmation

– A booking is confirmed only upon receipt of a non-refundable deposit (see section 4) and a written confirmation from Tanzania Memories Tours.
– The person making the booking accepts responsibility for all other participants under the same reservation.

– All bookings are subject to availability and will be confirmed in writing via email.

Prices and Inclusions

– All prices are quoted in US Dollars (USD) unless otherwise stated.
– Prices include accommodations, meals, park fees, transport, and guiding services as specified in the itinerary.
– Prices exclude international flights, visas, travel insurance, personal expenses, and gratuities unless otherwise noted.

Tanzania Memories Tours reserves the right to adjust prices due to changes in local taxes, park fees, currency fluctuations, or supplier increases, but confirmed bookings will not be affected once paid in full.

Payments and Deposit Policy

– A 30% deposit of the total tour cost is required to secure your booking.
– The balance (70%) is due no later than 30 days before the start date of the tour.
– Bookings made within 30 days of the start date must be paid in full at the time of booking.
– Payments can be made via bank transfer or secure online payment (details provided upon invoice).

Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the deposit.

Cancellations and Refunds

All cancellations must be made in writing via email.

Cancellation fees apply as follows:

– 60+ days before arrival: Deposit forfeited
– 30–59 days: 50% of total tour cost
– 15–29 days: 75% of total tour cost
– 0–14 days or no-show: 100% of total tour cost

No refunds will be made for any unused services once the tour has begun.

In the case of a cancellation by Tanzania Memories Tours due to unforeseen circumstances (e.g., force majeure), clients will be offered a full refund or option to reschedule.

Amendments

– Amendments requested by the client after booking confirmation will be considered based on availability and may incur additional costs.
– Tanzania Memories Tours reserves the right to make minor changes to the itinerary (e.g., lodge substitutions) due to circumstances beyond our control. Any significant changes will be communicated in advance.

Travel Insurance (Mandatory)

Travel insurance covering medical emergencies, trip cancellation, personal liability, and evacuation is compulsory. You are required to provide proof of insurance prior to travel.

Passports, Visas, and Health Requirements

– Clients are responsible for ensuring they meet all entry, visa, and vaccination requirements for Tanzania and any other countries visited.
– A valid passport (with at least 6 months’ validity) and appropriate visas are required.

– Yellow Fever vaccination is mandatory if traveling from or through a Yellow Fever risk country.

Health and Fitness

It is your responsibility to ensure that you are medically and physically fit for the safari activities. Please inform us of any medical conditions, dietary restrictions, or mobility limitations at the time of booking.

Liability and Responsibility

Tanzania Memories Tours acts as an agent for accommodations, transport providers, and other third-party services. While we take all reasonable steps to ensure reliable services, we are not liable for:
– Personal injury, illness, or death
– Damage, loss, or theft of personal property
– Delays or changes due to weather, strikes, acts of God, or government actions

We are not liable for any expenses incurred due to travel disruptions, including missed flights or connections.

Wildlife and Adventure Risks

Travel in Africa and safari experiences involve inherent risks including close proximity to wild animals, challenging terrain, and unpredictable weather. Clients must follow all safety instructions and accept these risks as part of the adventure.

Behavior and Conduct

We reserve the right to remove any client from a tour without refund due to:
– Disruptive or unsafe behavior

– Harassment of staff or other guests
– Failure to follow guide instructions or local laws

Complaints and Disputes

If you have a complaint during the tour, please raise it immediately with your guide or tour coordinator. We will do our best to resolve the issue on-site. Formal complaints must be submitted in writing within 14 days of tour completion.

Any legal disputes shall be governed by the laws of the United Republic of Tanzania and handled by the courts of Arusha, Tanzania.

Use of Photos and Testimonials

Unless otherwise stated, Tanzania Memories Tours may use photographs taken during your safari or testimonials provided by you for promotional purposes. You may request removal of your image or comments at any time by contacting us.
