Booking Terms & Conditions
Overview
These terms explain how bookings, deposits, payments, and cancellations work when you reserve a safari, excursion, or related travel service with Tanzania Memories Tours.
By confirming a reservation, you agree to these terms.
Booking and confirmation
- A reservation is confirmed after we receive the required (non-refundable) deposit and we send a written confirmation.
- The lead traveler placing the booking is responsible for the details provided for everyone on the reservation.
- All bookings depend on availability and are confirmed by email.
Prices and what’s included
- Prices are quoted in USD unless stated otherwise.
- Inclusions (as listed on your itinerary) may include accommodation, meals, park fees, transport, and guiding services.
- Unless specifically included, you should budget separately for items such as international flights, visas, travel insurance, personal expenses, and tips.
- We may adjust prices if taxes/fees or supplier costs change, but confirmed bookings are not affected once paid in full.
Payments and deposits
- A 30% deposit is required to secure the booking.
- The remaining 70% is due no later than 30 days before the tour start date.
- Bookings made within 30 days of the start date must be paid in full at the time of booking.
- Payments can be made by bank transfer or secure online payment (details provided on your invoice).
- Late payment of the balance can lead to cancellation and loss of the deposit.
Cancellations and refunds
Cancellations must be sent in writing by email. Fees depend on how close the cancellation is to the arrival date.
- 60+ days before arrival: deposit is forfeited.
- 30–59 days before arrival: 50% of the total tour cost.
- 15–29 days before arrival: 75% of the total tour cost.
- 0–14 days before arrival or no-show: 100% of the total tour cost.
- No refunds are available for unused services after the tour begins.
- If we must cancel due to unforeseen circumstances (force majeure), we will offer a full refund or an option to reschedule.
Changes and amendments
- Requested changes after confirmation are subject to availability and may incur extra costs.
- We may make small itinerary adjustments (for example, accommodation substitutions) when needed due to circumstances outside our control, and we will communicate significant changes in advance.
Travel insurance (mandatory)
Travel insurance is required. Your coverage should include medical emergencies, trip cancellation, personal liability, and evacuation. We may ask for proof of insurance before travel.
Passports, visas, and health requirements
- You are responsible for meeting entry, visa, and vaccination requirements for Tanzania (and any other countries visited).
- Your passport should be valid for at least 6 months and you must hold the appropriate visas.
- Yellow fever vaccination may be required if you travel from or transit through a yellow-fever-risk country.
Health and fitness
You are responsible for confirming that you are medically and physically fit for the activities on your itinerary. Please share relevant medical conditions, dietary needs, or mobility limitations at the time of booking.
Liability and responsibility
We work with third-party providers (such as accommodation and transport suppliers). While we take reasonable steps to select reliable partners, we are not responsible for losses or costs caused by events beyond our control.
- Personal injury, illness, or death.
- Loss, theft, or damage to personal property.
- Delays or itinerary changes due to weather, strikes, acts of God, or government actions.
- Extra costs from travel disruptions (including missed flights or connections).
Wildlife and adventure risks
Safari and adventure travel carry inherent risks (wildlife proximity, uneven terrain, and changing weather). Please follow your guide’s safety instructions at all times.
Behavior and conduct
We may remove a guest from a tour without refund if their behavior puts others at risk or disrupts the trip.
- Unsafe or disruptive behavior.
- Harassment of staff or other guests.
- Not following guide instructions or local laws.
Complaints and disputes
If an issue arises during your trip, tell your guide or coordinator immediately so we can try to resolve it. Formal complaints should be submitted in writing within 14 days after the tour ends.
Disputes are governed by the laws of the United Republic of Tanzania and handled by the courts of Arusha, Tanzania.
Photos and testimonials
Unless you tell us otherwise, we may use photos taken during your trip or testimonials you provide for promotional purposes. You can request removal at any time by contacting us.
