Terms & Conditions

Overview

These Terms & Conditions apply when you browse our website, request a quote, or book a trip with Tanzania Memories (Arusha, Tanzania).

We design private tours across Tanzania, including Serengeti safaris, Kilimanjaro climbs, day trips, and Zanzibar extensions.

Your itinerary, invoice, and confirmation email are part of your agreement with us. If there is any conflict, your confirmed itinerary/invoice takes priority for inclusions, dates, and prices.

Bookings & confirmation

A booking is confirmed after we receive the required deposit/payment and we send written confirmation by email or WhatsApp.

The lead traveler making the booking is responsible for providing accurate details (names, dates, preferences) for everyone on the reservation.

  • Bookings are subject to availability (parks, accommodations, flights, permits, guides).
  • Some services may require full prepayment to secure availability (for example: limited permits or peak-season accommodation).

Payments

Payments, deposit amounts, and due dates are shown on your invoice/confirmation.

Unless stated otherwise, prices are quoted in USD and may be subject to bank or card processing fees depending on your payment method.

  • Late payments can result in supplier cancellations or price changes outside our control.
  • If a supplier requires immediate payment, we may request earlier payment than originally planned.

Changes, cancellations & refunds

If you need to change dates, reduce group size, or cancel, please notify us in writing as early as possible.

Refunds depend on timing and third-party supplier policies (parks, accommodation, transport, permits).

  • See our Refund Policy for the practical rules we follow for cancellation fees and refund processing.
  • No-shows and unused services are typically non-refundable.
  • Supplier fees may apply to changes (for example rebooking charges or different rates).

Traveler responsibilities

You are responsible for meeting entry requirements and being prepared for the trip style you book (safari, trekking, beach, day trips).

  • Passports, visas, and any required travel documents.
  • Travel insurance (medical + evacuation is strongly recommended for all trips; for climbs it is essential).
  • Following park rules and your guide’s safety instructions at all times.
  • Disclosing relevant medical conditions and allergies before travel so we can plan safely.

Itinerary adjustments

Tanzania travel is dynamic: weather, wildlife movement, road conditions, and park authority decisions can require small itinerary changes.

If changes are needed, we aim to provide equal or better alternatives while protecting safety and the overall experience.

Force majeure

We are not responsible for delays, cancellations, or changes caused by events outside our reasonable control (for example: extreme weather, park closures, government actions, strikes, flight disruptions, or natural disasters).

When possible, we help you rebook, reroute, or reschedule using available options and supplier rules.

Liability

We work with trusted partners (drivers, lodges, guides, activity providers) to deliver your itinerary. Some services are provided by independent third parties.

To the maximum extent permitted by law, Tanzania Memories is not liable for indirect or consequential losses (for example missed connections, lost opportunities, or personal expenses) caused by third-party service providers or force majeure events.
